Hi, I'm Sebastiaan Vaz, Founder of My Moissanite. As a team of just around 5 people, we're relocating from the Netherlands to Madrid by the end of this year, and I’m looking for a highly capable **Executive Personal Assistant / Head of Operations** to be my right-hand person in both professional and personal matters.

This role goes beyond day-to-day operations — you’ll play a critical role in helping me relocate and set up life in Spain while ensuring the smooth running of our company, My Moissanite. You’ll help organize chaos, free up my time, and make sure nothing falls through the cracks.

**What You'll Do**: **Business Operations**:

- **Supplier Management**: Confirm orders, manage design requests, negotiate costs, and handle communication with suppliers.
- **Order Fulfillment & Logistics**: Oversee order processing, logistics with DHL, and maintain inventory levels.
- **Product Management**: Update product details, and assist with managing product photography and videography to keep the store appealing.
- **HR & Hiring**: Help recruit and expand the team as we set up in Madrid.
- **Managing colleagues**: We have many freelancers oversees who take care of operational tasks, such as adding new products to the store, editing videos, etc.

**Personal Assistance**:

- **Relocation to Madrid**: Research and organize real estate for both personal and office spaces. Set appointments with real estate agents for me to visit. Assist with Spanish bureaucracy and personal tasks.
- **Planning & Organization**: Manage my calendar, deadlines, and help keep me focused. You’ll act as my accountability partner to ensure everything stays on track.
- **Domestic Support**: Assist with hiring domestic staff and managing personal tasks that make the transition to Madrid seamless.

**Who You Are**:

- **Bilingual**: Fluent in both English and Spanish.
- **Organized**: Naturally methodical with a talent for managing multiple projects and keeping everything on track.
- **Problem Solver**: Quick, independent thinker who can take initiative without needing constant guidance.
- **Tech-Savvy**: Familiar with modern productivity tools (Notion, CRM systems, etc) and efficient in online communication and management.
- **Adaptable**: Thrives in a fast-paced environment with constantly changing priorities.
- **Trustworthy & Confidential**: You’ll handle sensitive business and personal information with care and discretion.
- **Cultural Fit**: I’m looking for someone who’s logical, adaptable, and enjoys a laid-back yet fast-paced atmosphere.
- **Sales-oriented**:You should have at least some experience in sales and related techniques, as many customer inquiries are pre-sales questions.

**Compensation**: **€35000
- €55000 per year based on seniority and experience**
