The Role This is a Personal Assistant role for the CEO of a fast-growing company. It has two layers, and both are equally important. The role requires hands‑on personal support (driving, errands, home logistics) and strategic executive support (calendar engineering, stakeholder meetings). The seniority and breadth of the duties demand that the assistant does not focus on only one layer. The day always includes both layers; they run on the same calendar, the same operator, and the same brain. If either layer feels like a step down, this role is not the right fit. If both layers feel meaningful, you are the adecuado reader for this posting. The role has an in‑person component every Monday at the principal’s home in Marbella. This is non‑negotiable and is the foundation of the weekly operating cadence. The rest of the week is hybrid, executed from anywhere with reliable internet, with daily overlap into the company’s 8 am to 12 pm EST collaboration window. What You Will Own Personal logistics, errands, and movement. Driving the principal and his wife when traffic is bad, the trip is long, or he needs to work in transit. Running errands such as picking up items, dropping or collecting the dog, and covering for household staff when they are unavailable. Managing end‑to‑end deliveries, from order placement through tracking and receipt. Owning real‑world admin including insurance, banking paperwork, and contracts, so that the principal does not need to leave the house for anything administrative. Home and environment. Acting as the operating layer behind the household: contractors, handymen, painters, electricians, the housekeeper, and any vendor that touches the home. The work itself is rarely the issue; the chasing, messaging, and follow‑up are. You own the loop until things are done. Health, supplements, and performance protocol. Preparing the supplement, peptide, and testosterone protocol every Monday in person, following an exact protocol. Tracking inventory weekly across every item in the protocol, reordering with a buffer of two to three weeks because Spain is slow on deliveries. Managing all medical bookings, appointments, and follow‑ups end‑to‑end. Personal maintenance. Managing recurring personal appointments such as haircuts, with logic applied automatically around travel and podcast recordings. The standard is that the principal never thinks about whether one of these appointments needs booking. Travel and movement. Booking flights according to defined rules across long‑haul, Europe, and short‑haul routes. Arranging premium hotels with a sense for when luxury matters and when it does not. Coordinating premium ground transport on arrival. Managing all travel‑adjacent logistics, including haircut moves, calendar adjustments, deliveries timing, and the principal’s wife’s plans. Communication and control. Acting as the buffer between the world and the principal’s attention across Slack, WhatsApp, Telegram, email, and any other channel. Filtering, routing, responding on the principal’s behalf where appropriate, and surfacing only what genuinely needs him. Building and maintaining an inbox folder system so the principal sees a clean inbox when he opens it. Calendar and time engineering. Protecting the principal’s maker mode (deep work days) versus manager mode (call days). When calls land on maker days, stacking them at end‑of‑day, never morning, never middle. Offering specific time slots to anyone requesting a meeting before the principal sees the request. Pulling weekend plans from the principal’s wife into the calendar so conflicts are visible before the week starts. Stakeholder‑facing EA work. Representing the principal in business meetings where his time does not need to scale: partner conversations, internal leadership syncs, vendor and supplier relationships, and external collaborators. Attending the calls he is on (taking notes, capturing every action item, pushing follow‑ups into the system) and the calls he is not on (listening for what he would want to know, capturing metrics and decisions, relaying the 30‑second version). Following up on commitments the principal made and commitments others made to him. Task capture and follow‑up. Capturing everything the principal says across calls, Slack, WhatsApp, Telegram, in‑person, email, and voice notes. Converting to clear tasks, assigning owners, setting deadlines, tracking daily, and surfacing one of three updates per item: on track, blocked plus plan, or done. Asana and Notion. Asana is the operational backbone for the wider business. Notion is the personal operating system between you and the principal. The principal does not check either. Both are yours to live in. Weekly command system. Monday in‑person at the principal’s home, max one hour, to prepare the supplement and peptide protocol for the week, sync on the week ahead, and absorb the principal’s mental clutter into the tracking system. Optional Friday async debrief. Finance and multi‑venture support. Investment tracking across stocks, crypto, equities, bonds, property, and private investments, with clean reports on a regular cadence. Payment execution as trust builds across phases. Supporting the principal across all his ventures, not just one business. AI automation watch. Spotting any task the principal does repeatedly and flagging it for automation immediately. Almost any repeated task can be automated, AI‑assisted, or systematised. Requirements Setup and life logistics, all non‑negotiable:
- Based in Marbella, or within commuting distance, and able to be at the principal’s home in person every Monday
- Valid driver’s license, comfortable driving in Spain, and explicitly willing to drive as part of the role: errands, dog drop‑off and pick‑up, driving the principal and his wife when traffic is bad or he needs to work in transit, household coverage
- Daily overlap into 2pm to 6pm Spain time (8am to 12pm EST). Comfort with a standard full‑time workload that includes responsiveness across business hours Operator background:
- Three or more years of experience as a Personal Assistant, Executive Assistant, Chief of Staff, or Personal Operator for a CEO, founder, family principal, or high‑net‑worth individual where you owned both the business and personal layers, including the hands‑on personal layer
- Demonstrable history of running logistics, calendar, communication, and follow‑up for someone whose time is the constraint, while also representing them in stakeholder‑facing settings
- Track record of seeing the next move before being told and closing loops without reminders Mindset and judgment:
