**Context**

Under the direct supervision of the Senior Human Resources Associate (Organizational Design and Classification) based in Valencia, Spain, the Senior Human Resources Associate (Information and Knowledge Management) will be responsible and accountable for creating and aligning all knowledge documents for the classification, organizational design, and position management pillars of the Organizational Design, Position Management and Classification Unit.

Responsibilities: Responsibilities and Accountabilities

1.Knowledge Asset Management: Review and update existing service-related knowledge materials (e.g., process Standard Operating Procedures (SOPs), Step by Steps, guides, Frequently Asked Questions (FAQs), service descriptions) for the Organizational Design, Position Management and Classification unit. Ensure alignment with current workflows, policies, and system changes. Integrate updated materials into the Unit Knowledge Management (KM) Library and other relevant platforms ensuring version control, consistency, and ease of retrieval.

2.Content Development & Coordination: Develop training, communication, and knowledge‑sharing materials on HR Processes, adapting content, visuals and delivery methods to diverse audiences and platforms.

3.System Integration & Maintenance: Monitor usage and feedback to identify gaps or improvement areas. Support automation efforts. Propose and coordinate the design, development and enhancement of technology‑driven HR tools, in close collaboration with relevant internal stakeholders (e.g. Information and Communication Technology (ICT), Wave, Organization Design, Position Management, Classification). Administer the adoption and governance of key HR digital platforms, including the HR ticketing system, while ensuring accessibility for all personnel and utilizing Artificial Intelligence for analysis and lessons learned. Translate complex HR processes into clear operational guidance, and user-centric content.

4.Stakeholder Engagement: Liaise with service owners and technical counterparts to validate content and ensure accuracy. Participate in Knowledge Management (KM) network activities to share updates and gather input. Participate in the project team meetings to understand the evolving timelines and needs of the new processes. Participate in service-specific meetings, as needed.

5.Results/expected outputs: Update and validate knowledge materials for all three service areas (organizational design, position management and classification). Develop new content develop where gaps exist. Ensure the materials integrated into existing HR systems with appropriate metadata and Unit Knowledge Library. Prepare summary report of updates and recommendations for ongoing maintenance.

6.Act as a focal point for knowledge quality assurance within the Unit, promoting standardization and good KM practices.

7.Contribute to the development of sustainable knowledge maintenance processes to ensure continuity and institutional memory.

8.Perform such other duties as may be assigned.

Qualifications: Education

University degree in Human Resources Management, Information Management / Knowledge Management, Business Administration or a related field from an accredited academic institution with four years of relevant experience; or, Completed High school / Secondary school education with six years of relevant experience.

Experience

A minimum of six years of experience relevant to the Human Resources and/or Knowledge Management field is required.

**Skills**: Excellent Client Service; Demonstrated understanding on how generative and agentic (Artificial Intelligence) AI tools work; Data literacy and analytics; Effective Communication; and, Proficiency in understanding Digital Tool.

Languages: IOM’s official languages are English, French, and Spanish. All staff members are required to be fluent in one of the three languages.

For this position, fluency in English is required (oral and written).

Working knowledge of another official UN language (Arabic, Chinese, French, Russian, and Spanish) is an advantage.
