Job Purpose Plan, execute, and monitor crew travel logistics within the operational environment of the airline, in accordance with published crew rosters, regulatory and collective agreement constraints, approved supplier frameworks, and internal procedures, in order to ensure timely, compliant, cost‑effective and disruption‑free travel solutions that support crew readiness and operational continuity. Main Accountabilities
- Ensure every crew member has the required travel services secured in advance and adapted to any real-time changes, ensuring punctuality and regulatory compliance.
- Guarantee timely and accurate provisioning of travel services, aligned with service agreements, cost criteria, and crew operational needs.
- Resolve crew travel issues assertively and empathetically, minimising stress for crew and mitigating impact on flight schedules.
- Proactively detect and address service gaps, missed bookings, or errors before they result in crew impact or cost deviations.
- Ensure that payments processed are accurate, justified, and prevent undue cost leakage, reinforcing the financial control of the department.
- Maintain operational accuracy, traceability and procedural compliance in all crew travel‑related workflows.
- Minimise legal, operational, or reputational risk through strict adherence to both internal and external regulatory frameworks. Main Responsibilities
- Analyse crew rosters and operational planning to identify all travel and accommodation needs arising from scheduled or disrupted operations.
- Book and administer all logistics services for crew travel including flights, hotels, ground transportation, rail, and urgent last‑minute requests through authorised suppliers.
- Provide immediate telephone support to crew members, acting as the first point of contact for operational queries, service requests, or incidents.
- Conduct follow‑up checks to confirm that booked services have been properly delivered and are aligned with operational expectations.
- Validate that costs associated with services rendered match agreements and expectations, identifying discrepancies in supplier charges or usage.
- Execute a wide range of administrative tasks, including documentation, system updates, data entry, and internal coordination with payment systems.
- Ensure every action complies with aviation safety procedures, internal policies, data protection regulations, and supplier framework agreements.
- Collaborate continuously with Crew Control and the Crew Travel Supervisor during shift operations, especially under changing flight conditions.
- Develop and apply a more analytical mindset in the execution of crew travel tasks, moving beyond pure execution towards critical assessment of bookings, costs, and outcomes.
- Contribute to the training of new crew travel agents by participating in onboarding and peer coaching during the early weeks of incorporation.
- Apply judgment in validating whether requested services are operationally justified and cost‑appropriate within legal and contractual frameworks. Main Relationships Crew Control: Coordination during roster changes and operational disruptions; critical to align logistics with real‑time flight planning. Short‑Term Planner & Crew Travel Lead and Crew Operations Manager: Functional coordination and shift alignment; ensures consistency and prioritisation of support tasks. Planning (Scheduling): Indirect interface; provides the initial rostering information that generates travel needs. Finance Department: Validation of payments and control of travel‑related expenses. Purchasing: Contractual compliance with authorised providers. External Travel Providers (Hotels, Transport, Airlines, Rail): Execution and monitoring of services requested, and resolution of service incidents. Education
- Vocational training or post‑secondary education in Tourism, Travel Management, Administration, Logistics or similar.
- Understanding of travel logistics.
- Awareness of legal and contractual frameworks.
- Familiarity with payment systems and documentation protocols.
- Knowledge of Amadeus, Galileo, or Sabre. Experience
- Prior experience in travel booking or administrative roles is highly important.
- Handling bookings and logistics under change management context.
